Packaging Machine Buying Guide: How to Specify, Compare and Buy Equipment

A practical B2B guide to defining a packaging project, comparing suppliers, evaluating total cost and validating equipment before purchase.

Before you contact suppliers: write the application brief

A supplier can only propose a meaningful configuration when the application is clear. Build one controlled document and send the same version to every supplier.

Step 1: confirm the machine category

A pouch project may need product handling, dosing, pouch forming, sealing, coding, inspection and case packing — and a proposal that quotes only the sealing head does not solve the line. Establish which categories the project touches and give every handoff a named owner before anyone talks brands.

Step 2: build a focused shortlist

Shortlist by demonstrated fit: the required equipment category, your product type, your pack format and a support model that works in your destination market. Step 3: request comparable quotations

Every shortlisted supplier answers the same RFQ, and every quotation separates the base machine from options and services:

  1. Exact model and configuration, including electrical standard and guarding.
  2. Capacity range with the named product and packaging material.
  3. Included and excluded tooling, format parts, feeders, conveyors and inspection equipment.
  4. Factory acceptance test conditions with measurable pass/fail criteria.
  5. Delivery time, Incoterm, installation, commissioning and training scope.
  6. Warranty, critical-spares recommendation, manuals and post-sale support.

Step 4: compare the installed and operating cost

The purchase price is one line of the project. Step 5: validate with your materials

Agree factory acceptance test (FAT) criteria before releasing the purchase order, using the intended product and packaging material wherever possible: output range, pack-quality criteria, reject handling, changeover expectations and the evidence to be recorded. Define the site acceptance test (SAT) at the same time — installation conditions, training completion, safety checks, documentation handover and the operating period that demonstrates the agreed result on site.

Step 6: plan the handover and year one

Commissioning ends the delivery, and starts the operating life. Assign owners for operator training, maintenance training, spare-parts storage, format documentation and escalation routes.
